Many stock items are supplied as cartons/packs rather than individually. This article explains how to configure cartons/packs within Retailer. This is only suitable for items where there is a single item sold as units, that is bundled up together into packs of the same item.

Setting Up Packs (Cartons) for Stock Items

When following these instructions please ensure you have added your "Single" or standard retail unit first.  
  1. On the top menu bar of Retailer, click on Stock Maintenance -> Stock Screen.
  2. Click on the magnifying glass icon to search for and select the particular stock item.
  3. Click on the Packs tab.
  4. Click on the Create Pack button.
    • In Pack Barcode, scan/enter the barcode of the pack. Alternatively, press [Alt]+[G] to generate a barcode.
      Notes
      This pack item can already exist/be created in Retailer. Simply search for it or scan its barcode.
    • In Pack Description, type in the description for the pack.
    • In PLU, enter a short code for the item. (Optional)
    • In Pack Quantity, enter the quantity of the stock items that make up the pack.
    • In Supplier Stock Code, enter the product code used by the supplier. (Optional)
    • In Current Quantity On Hand, enter the current quantity on hand for the pack.
    • Separate packs into items automatically upon arrival will automatically separate packs into the individual item when arrived. 
    • In the Pricing tab:
      • Enter the pack Cost Inc. Price.
      • Enter the pack Sell Price.
    • In the Labels tab:
      • Tick Print Barcode On Arrival if you want barcodes to be generated when the pack is arrived.
      • Tick Print Shelf Labels On Arrival (If the Price Changes) if you want shelf labels to be generated when the pack is arrived with a different price.
    • In Category, select the category that the pack belongs to.
  5. Click on Save.

Reordering Packs (Cartons)

To reorder packs, you can use a reorder method of Packs. This allows Retailer to create an order for the pack item, instead of the individual unit.

Once reorder methods have been set up and assigned to stock items, you can use the following methods to reorder stock items:

  • The Order By Sales utility

Invoice Arrivals using Cartons/Packs

To arrive a pack, enter or search for the pack in the Invoice Arrivals screen.

If Separate packs into items automatically upon arrival was ticked when you created the pack, Retailer will automatically arrive the total quantity of individual units based on the number of packs.
For example, if you arrive 5 packs that have 10 individual units in each, Retailer will arrive 50 of the individual stock items.

On the other hand, if Separate packs into items automatically upon arrival was unticked, the pack itself will be arrived.

Idea
When arriving a pack item manually (if you are arriving the unit item and you only have the pack price), you can press F6 in the Cost Price box, and a screen will appear to help calculate the price per unit of a pack item. Type in the cost price for the pack item, and the number of units in a pack to see the Unit Cost price. Pressing OK will enter this unit cost price against the item in this invoice arrival.

Selling Pack (Carton) Items

To sell a pack, simply scan/enter the pack's barcode in the POS screen.

Retailer will automatically break or re-form packs when sold if the qty on hand would otherwise drop below zero. The following scenarios can occur:

For the purpose of these examples, let's assume that a pack consists of 10 individual units
  • The pack item's QOH is 0 and the individual unit's QOH is more than 0.
    The pack item's barcode is scanned.
    The QOH of the individual unit is reduced by the quantity of individual units in that pack.
    Example: 
    The pack item's QOH is 0 and the individual unit's QOH is 30.
    The pack item's barcode is scanned.
    Now, the pack item's QOH remains at 0 and the individual unit's QOH is down to 20.

  • The pack item's QOH is more than 0. The individual unit's QOH could be anything.
    The pack item's barcode is scanned.
    The QOH of the pack item is reduced by the quantity of pack items sold.
    Example: 
    The pack item's QOH is 2 and the individual unit's QOH is 30.
    The pack item's barcode is scanned.
    Now, the pack item's QOH is down to 1 and the individual unit's QOH remains at 30.

  • The pack item's QOH is more than 0 and the individual unit's QOH is 0.
    The individual unit's barcode is scanned.
    The pack item's QOH is reduced by 1 and the individual unit's QOH will then increase by the remainder of individual units within the pack.
    Example: 
    The pack item's QOH is 4 and the individual unit's QOH is 0.
    The individual unit's barcode is scanned.
    Now, the pack item's QOH is down to 3 and the individual unit's QOH goes to 9.
