The list of stock items created through Stock Manager can be used not only for bulk changes, but also for the following purposes:
- Perform a Detailed Takings Reports on the selected items.
- Export the list of selected items to a CSV file.
- Perform a custom stocktake on the selected items.
- Send the selected items to the Barcode Manager.
- Create pending orders for the selected items.
- Request stock in bulk from your other store location if you're multi-store.
Selecting Stock Items in Stock Manager
The first step involves performing a search of your stock database based on parameters such as department, supplier, classifications and so on. This uses the Advanced Stock Search function.
- If the Stock Manager grid contains stock items, click on Remove -> Remove All. This will clear the grid and ensure that unwanted items are not included in the search.
- Click on Search.
- In the Advanced Stock Search screen, select the options required for the stock items to search for. Click HERE to learn more about Advanced Stock Search.
- Click Search. The Stock Manager grid will now display all stock items based on the search criteria.
- In the Stock Manager list, tick the particular stock items that you want to edit. The list can also be filtered before ticking the items you want.For more information on using filters, click HERE
- If you want to select all the items, click on the Select button. Then, click Select All.
- Conversely, to de-select all the items, click on the Select button and then click on Select None.
Sending The Stock Manager List
You can use the following options with your selected items from the Stock Manager, enabling a more precise approach beyond the standard filtering options these functions typically provide.
Reports
Detailed Takings Report
This generates a Detailed Takings Report based on the items selected in Stock Manager list, allowing you to see the total sales and gross profit of specific items that you're interested in, rather than the whole department or category.
- After selecting the particular stock items, click on Send List To → Reports → Detailed Takings Report.
- Select any required options for the report. You can find a more detailed explanation in the Detailed Takings Report advice sheet.
- Click Preview or Print.
Sales by Month
This generates a Sales by Month Report based on the items selected in the Stock Manager list.
- After selecting the particular stock items, click on Send List To → Reports → Sales by Month.
- Select any required options for the report. You can find a more detailed explanation in the Sales by Month Report advice sheet.
- Click Preview or Print.
Exporting to CSV
This creates a file in the .CSV format that can be viewed as a spreadsheet in Excel or imported by other other applications. The stock information exported from Stock Manager is based on the columns shown during the export. This can be adjusted by clicking on the orange asterisk icon at the top left of the column headers.

The information that can be exported from Stock Manager can include: Barcode, Description, Quantity on Hand, Department, Category, Cost Price, Sell Price, Supplier Name, Supplier Stock Code, Last Sold Date, Last Arrived Date, and more.
- After selecting the particular stock items, click on Send List To -> CSV File.
- Navigate to a location to save the file in.
- Click Save.
Performing Custom Stocktake
This creates a custom stocktake based on the selected stock items.
- After selecting the particular stock items, click on Send List To -> Stocktake.
- The Stocktakes screen will appear with the selected items.For more information about custom stocktakes, click HERE
Sending to Barcode Manager
This will send a number of barcode labels for the items selected in Stock Manager, to Barcode Manager to be printed later.
- After selecting the particular stock items, click on Send List To -> Barcode Manager.
- Select the Operator, Label Style and Quantity. Click OK.
- The barcodes will be sent to the Barcode Manager, where they can be printed.For more information about using the Barcode Manager, click HERE
Create Pending Orders
This will create a supplier order in Orders Maintenance, with the selected items in Stock Manager. If you are multi-store, it will have the option to request stock from your other store locations as well.
- After selecting the particular stock items, click on Send List To → Orders.
- Pending orders will be created for each supplier or store location for the selected stock items and the Orders Maintenance screen will appear.For more information about using Orders Maintenance, click HERE
