Using valuations in Retailer allows you to print out a certificate with added information for an item.

This article shows you how to print a valuation certificate when you sell an item. These are best printed out on your own letterhead or company stationery, as they cannot be customised.

You can also print out a valuation certificate for items that you didn't sell.

Items need to be set to use valuation certificates, and setup can be done to change how the certificate looks.

Setting up items to use a valuation certificate

Valuation certificates can be assigned in one of two ways:

  • Individual stock items through the stock screen.
  • Through stock manager for bulk changes.

Method 1 - One at a time through Stock Screen

  1. From the main screen of Retailer, click on Stock -> Stock Screen.
  2. Click on the magnifying glass icon to access the Find Stock Screen. Search for, and select the stock item you wish to assign a valuation certificate to.
  3. Click on the Extra Details tab.
  4. Click on the tick box This item requires a valuation certificate.
  5. Click Save.

If you want to stop the item requiring a certificate just untick the box and then click Save.

Method 2 - Multiple items at a time through Stock Manager

  1. On the top menu bar of Retailer, click on Stock Maintenance -> Stock Manager. 
  2. Search for and select items based on your specified criteria.

  3. Click on Edit Selected
  4. Tick the box for valuations certificate required.
  5. When finished, click on Save at the top of the window.

To remove the valuation certificate from the selected items, repeat the above process but untick the valuation certificate box.

Valuation Certificate Options

Once you have items that require valuations, you can set up how they will look by trying to print one from the Previous Sales screen:

  1. Open the Previous Sales screen.
  2. Search for a sale with an item that requires a certificate.
  3. Click on the Valuation Certificate button in the bottom left corner of the Previous Sales window.
    • If you do not get the setup box straight away, click on the Setup button at the bottom of the window. 
    • From this setup screen, you can customize how you want the certificate to look.
      • In the Valuation Certificate Display options you can add up to ten fields. These fields range from description and price through to any classifications you may have set up on an item.
      • The rest of the options are to set up your layout options and add any custom text you would like at the top or bottom of the certificate.
      • You can also set up a charge to the customer here for printing out these certificates.
      • Once you have made any changes, don't forget to click Save and then you can close this window.
  4. Click the Preview button to see what the certificate looks like. If you want to make any changes you can go back into the setup by closing the preview and clicking on the setup button again.

Printing a Valuation Certificate

To print a valuation certificate, first sell an item that requires one. You will get a window asking about printing one which you can either click Print to print, or Close if you do not need one.

You can also print one from a previous sale by using the Previous Sales screen, using the Valuation Certificate button in the bottom-left.
