Retailer has the ability to create and track Gift Vouchers. A gift voucher is bought by a customer to be used to pay for goods in your store by another customer. You can use either Retailer printed vouchers or you can have your own voucher professionally created and vouchers providing they contain a barcode.

Requirements for Gift Cards

For gift cards to be scanned into Retailer, the barcodes on the gift cards must meet the following requirements:

  • Start with GV1
    AND
  • Be between 5 and 13 digits including the GV1

For example, GV112345678. The GV should be in upper-case.

Make sure you mention to Creative Plastic Cards that you are a Tower customer. Make sure to mention that the GV in the barcode should be in upper-case.

Setting up a Payment Type for Gift Vouchers

  1. From the main screen of Retailer, click on Setup -> General -> Pay Types.
  2. Check if you have a Gift Voucher payment type.
    If you do, skip this section. If not, carry on to step 3.
  3. Click on Add.
  4. In the Description field, type in GIFT VOUCHER.
  5. Tick Include this payment type on Banking Sheet.
  6. In What type of Payment is this, select Voucher.
  7. Click on Next and then Finish.
  8. Back in the Payment Types screen, tick Over Payments. This allows a balance to be issued if the gift voucher used is of higher value than the sale.
  9. Click Save and Close.

Setting up Gift Vouchers

  1. From the main screen of Retailer, click on Setup -> System -> Gift Vouchers.
  2. Under the Voucher Settings section:
    • Voucher Expires in - Enter the number of days that the voucher is valid for from the day of issue. By Australian Consumer Law, this must be at least 3 years (1095 days).
    • Maximum amount of change given when redeeming a Voucher - Enter the maximum amount of cash to refund if the gift voucher is not completely used. If the remainder is higher than the amount specified, another voucher will be generated.
    • Use existing expiry date when reissuing Gift Voucher - The expiry date of the original voucher is used on the reissued voucher.
    • Accept Expired Gift Vouchers - All expired vouchers are able to be redeemed.
    • Allow a Voucher to be invoiced to a Customer - Allows you to sell a voucher on an invoice that the customer can pay for later.
    • Hide Dollar Value of Printed Voucher - This can be used to redeem a service rather than goods, so the voucher will not show the monetary value.
    • Assign my own Barcodes to Each Voucher When Sold - Allows you to use your own pre-printed vouchers or gift cards.
    • Enable Vouchers Personalisation - Allows you to add a Sender Name, Recipient Name and Message to vouchers. The Sender and Recipient details can be used for searching for vouchers
  3. In the Print Voucher To section, select where the vouchers will print out from. Choose None if you are using pre-printed vouchers/cards.
  4. Preview Voucher Before Printing will simply show the voucher on the screen before it is printed.
  5. In the Voucher Redemption Type section, select the GIFT VOUCHER payment type.
  6. In the Gift Voucher Messages section, you can type messages that appear at the top, bottom and/or the terms and conditions.
  7. Click Save

Setting Up the Gift Voucher Department

The system will automatically add a Gift Voucher department to help track sales.

However, if you do not want Gift Voucher sales to show up in your sales reports, you can set up the department to be an agency department.
To do this:

  1. On the top menu bar of Retailer, click on Stock Maintenance -> Suppliers and Departments.
  2. In the Departments tab, click on the magnifying glass button.
  3. Select the GIFT VOUCHERS department and click OK.
  4. Tick the Agency Department? tick-box.
  5. click Save and then Close.
