Roam Point of Sale Basics

Adding Stock to Sale

There are several ways to add a Stock Item to a Sale in Roam:
  1. Click into the Search box and type a keyword to search by Product Description. Up to 16 products will appear to choose from. Click the product you wish to add to the sale
  2. Click into the Search box and type or scan a Barcode.
  3. On the right hand side of the Search box, click the Barcode button to use the Camera to scan a Barcode
  4. Click a POS Button that is linked to a Product
  5. Click a POS Button that is linked to a Department or Category. A list of Products in that Department or Category will appear

Changing Sale Item Quantity

To Change the Quantity of an item in a Sale:
  1. Click an item in the Cart. You can then use the Plus + or Minus - buttons to adjust Quantity or type an amount in the Quantity box
  2. Click an item in the Cart then click Remove Item to remove it from the Sale

Discount a Sale

To Discount all items in a sale together:
  1. Click the Sale Discount POS Button
  2. Click Actions then 'Add Sale Discount'
    1. Sales can be discounted by an Amount or Percentage

Discount an item

To apply a Discount to a single item in a sale:
  1. Click an item in the Cart then click 'Apply Line Discount'. You can then apply a Discount Amount, Discount Percentage or set a Price

Adding Customer to Sale

To link a Customer to a sale in Roam:
  1. Click the Add Customer POS Button
  2. Click Actions then 'Add Customer'
  3. You can then select an Existing Customer or click Add Customer to create a new Customer

Add Staff Note to Sale

To add a Note to a Sale in Roam:
  1. Click the 'Add Staff Note' POS Button
  2. Click Actions then 'Add Note'
These Notes are for Staff Use Only. They won't appear on Roam Receipts or sync to Retailer

Add Note to Line Item

To add a Note to a Stock Item in a Roam Sale:
  1. Click an item in the Cart then click 'Customer Note'.
These Notes will appear on Roam Receipts but will not sync to Retailer


Suspend Sale

To Suspend a Sale in Roam to continue later:
  1. Click the 'Park Sale' POS Button
  2. Click Actions then 'Park Sale'
Add a Note then click 'Park Sale' in the top right corner

To retrieve and continue a Suspended Sale:
  1. Click the 'Switch Sale' POS Button
  2. Click Actions then 'Switch Sale'
Click the sale you wish to retrieve to return it to the POS Screen

Transfer Sale from Roam to Retailer

Sales can be started in the Roam Point of Sale and then transferred to Retailer for Payment.
This is perfect for starting a transaction on the shop floor before processing it on your Main Point of Sale.
  1. From the Roam Point of Sale, Add the Items to your Cart.
  2. From the Roam Point of Sale, click 'Actions' then 'Transfer to Retailer'
  3. A QR Code will appear
  4. In the Retailer Point of Sale, press 'Suspend Sale' or CTRL+S on the keyboard
  5. Scan the QR Code using the Barcode Scanner attached to your Retailer POS Terminal
  6. The Stock Items will be automatically added to your Retailer Point of Sale

Performing Sales in Roam

Performing a Normal Sale in Roam

A Normal Sale is a sale that will be paid for at the time of sale.
  1. Add the Stock Items to the Roam Point of Sale
  2. (Optional) Link Customer to Sale
  3. In the Cart, Click Pay
  4. Select a Payment Method or click Split Payment
  5. Enter the Tendered Amount or click 'Collect Payment' in the top right
  6. The Sale Summary screen will appear. Click Next Transaction

Performing an Invoice Sale in Roam

An Invoice Sale will increase the Customers Account Balance for payment at a later date. Retailer can be used to send Statements to Customers with Balances owing.
  1. Add the Stock Items to the Roam Point of Sale
  2. Link a Retailer Account Customer to Sale
  3. In the Cart, Click Pay
  4. Click Invoice
  5. Click Complete Invoice to confirm
  6. The Sale Summary screen will appear. Click Next Transaction

Performing a Layby Sale in Roam

A Layby Sale can be used to take a deposit for a sale where the balance will be paid off at a later date.

  1. Add the Stock Items to the Roam Point of Sale
  2. Link Customer to Sale
  3. In the Cart, Click Pay
  4. Click Layby
  5. Enter Deposit Amount then select Payment Method
  6. Enter the Tendered Amount or click 'Collect Payment' in the top right
  7. The Sale Summary screen will appear. Click Next Transaction

Create a Quote or Proforma in Roam

Quotes and Proformas (Accepted Quote) can be created in Roam. A Deposit can be taken for Proformas.
  1. Add the Stock Items to the Roam Point of Sale
  2. Link Customer to Sale
  3. In the Cart, Click 'Complete Quote'
  4. Click Quote
  5. Click the 'Quote Accepted' Toggle if you wish to create a Proforma
  6. Click 'Complete Quote'
  7. Enter the Accepted Quote Deposit and select a Payment Type. If No Deposit is taken, click 'Skip Deposit' in the top right corner
  8. If you entered a Deposit Amount, you will be prompted to enter a Tendered Amount for the Deposit. Enter the Amount and click 'Collect Payment' in the top right corner
  9. The Sale Summary screen will appear. Click Next Transaction

Process Proforma Payment in Roam

Proformas in Retailer can be sent to Roam for payment to be taken on delivery. These payments then sync back to Retailer when the Proforma is Invoiced.

Customising the Roam Point of Sale Screen

Click the Actions button and click Edit Layout
If the Edit Layout option is missing, check that POS Layout Editing has not been disabled in POS Layout Settings

In the Layout Edit Mode, the Search Box in the POS Screen changes to a Done button. Click this button to save your changes.

Click and drag an existing button to move it.
Click the pencil icon in the top right corner of each button to edit it. Use the 'Remove Tile' option at the bottom to remove the button. You can also change the Colour, Text, Department or Category of certain buttons.
Buttons without an action set appear as a grey square with a plus + symbol. Click an unset button to set an Action.
Additional pages of buttons can be added using the Plus button at the bottom of the page.


The following Button Types are available for Roam:
  1. Product - Add 1x item to Cart
  2. Category - Show a list of Stock Items in the selected Category to add to Cart
  3. Department - Show a list of Stock Items in the selected Department to add to Cart
  4. Park Sale - Suspend a Sale to continue later
  5. Switch Sale - Retrieve a Suspended Sale
  6. Add Note To Sale - Enter a Note against the current sale
  7. Cancel Sale - Empty Cart and start new sale
  8. Discount Sale - Apply a Discount to all items in the Cart
  9. Add Customer - Select a Customer for the current Sale. Can also Add a New Customer.
  10. Apply Customer Loyalty Points - Discount the current sale using the Customers Loyalty Points

Don't forget to press Done to save your changes
