Lotto Barcode Setup - Lotterywest (Western Australia)
The following advice sheet explains how to setup Retailer with barcodes for Lotto products.
This is for Newsagencies in WESTERN AUSTRALIA only
Setup Lotto Departments
Before adding Lotto barcodes, you will need to make sure you have the following departments setup
- LOTTO
- LOTTO PAYOUT
- SCRATCHIE PAYOUT
- LOTTO CANCEL

All of these departments should be in the GST Free tax group, and the 'Agency Department?' option should be ticked.
For LOTTO PAYOUT, LOTTO CANCEL and SCRATCHIE PAYOUT the 'Payout Department?' option should be ticked
Setting Up Lotto Barcodes
- From the main screen of Retailer, click on Stock -> Stock Screen.
- Click on the Add button on the bottom-left.
- In the Barcode section, press [Alt]+[G].
- In the PLU section, enter as in the table below. Press Enter.
Note: The PLU must be in ALL CAPS - Click Next.
- Put in your product description as you want it to appear on receipts and in the point of sale screen.
- Click Next.
- Select the department as in the table below then click Next.
- Select the correct supplier and leave all the QOH settings as they are. Click Next.
- Your tax group should be GST Free. Leave all the pricing options as they are. Click Next. You will get a warning that you have not set a retail price. Click Ok.
- In the next screen the only tick box that should be ticked is the first one asking whether the item should be allowed to be discounted. This can either be ticked or unticked depending on your businesses preference. All other boxes should be unticked. Click Next.
Note: Press F2 on the keyboard to skip to the end of the Add Stock Wizard - Leave the newsagency specific settings as they are and click Finish.
- Repeat this process for each different lotto game type using the PLU's and descriptions in the table provided.
- Go into each created stock item in the Stock Screen, and click on the 'Other' tab.
- Tick the box marked 'Do not prompt for price in POS when $0' and tick 'Static Qty'

Scanning Lotto Tickets
Once the stock item has been set up you will be able to scan any lotto ticket that is printed from your lotto terminal. Simply scan the POS Barcode with your scanner and the price will automatically be picked up from the barcode. The description will be taken from the stock items we have just set up.
Alternative Method
This Method is Not Recommended: we strongly advise against using the lotto terminals transaction summary slips for reconciliation purposes. This method is not recommended under any circumstances and should be avoided entirely.
Why This Method Is Problematic
Lotto Terminals can print a transaction summary slip, which includes a POS Barcode. There are two versions of this POS Barcode
- Positive Barcode: When the total of sales and payouts is a positive value.
- Negative Barcode: When the total of sales and payouts is a negative value.
However, relying on these slips introduces serious problems
- Loss Of Transaction Detail: These slips combines all items in the lotto transaction into a single total, meaning you lose visibility into individual transactions (ticket type, game, payout type and amounts)
- Impossible to Audit: if someone forgets to process a sale or payout, you won't be able to use the Retailer Transaction History to help find the transaction - you'll only see a lump sum total
- No Scratchie or Lotto Payout Reconciliation: all payouts will be be mixed in the positive value transactions or negative value transactions. If a dispute occurs then you won't be able to use transaction history in Retailer to help find the mistake
- No Confidence in Reporting: You cannot reliably reconcile Lotto Sales, Lotto Payouts or Scratchie Payouts individually. You're left with just a grand total, which only balances if nothing goes wrong.
If You Still Choose to Use This Method
Although we do not endorse this method, if you decide to proceed, the steps are below
Setup Lotto Departments

Ensure that LOTTO PAYOUT is setup a a payout department.
Both Departments are setup as "GST Free" and "Agency Department" is enabled

Again, to be clear: using this configuration means you cannot audit or reconcile individual lotto, lotto payout or scratchie payout transactions. The overall total may align - but only if no errors occur and there is no reliable way to confirm this
