How to Use Layby Prepayment on an Existing Layby

Layby prepayments can only be applied to new laybys. If a layby prepayment has been processed by mistake, you can follow the steps below to refund the layby prepayment and apply the value onto an existing layby instead.

  1. Create a new layby for the customer with your layby shortcut button or press [CTRL]+[L] on the keyboard. This is a dummy layby.
  2. Click HERE for more information on how to create a layby.
  3. The Layby Prepayments window will automatically pop up.
  4. Select the layby prepayment in the grid and click Ok.
  5. Add a stock item to the layby that has a higher value than the layby prepayment that was selected.
    This is important as the layby having lower value than prepayment will leave some prepayment unused.
  6. Complete the layby sale as normal.
  7. Open the Previous Sales window with your shortcut button or press [F3] on the keyboard.
  8. Right click on the layby sale was that done and select Layby Management. This will take you directly to the layby.
  9. Click on the Layby Cancellation button at the bottom of the Layby Management window.
    This will bring you back to the Point of Sale screen with a Layby Credit transaction.

  11. Complete the layby credit transaction and it will prompt you for how you want to credit the balance for this layby.
  12. Select 'Refund the Layby credit balance' and click Ok.
  13. In the Layby Refund window, set your cancellation fee type to 'Not Applicable'.
  14. Tick the 'Refund the Layby Credit to the Customer' option and click Ok.
  15. A confirmation pop up with appear. Click Yes to continue.
  16. The Payment Details window will pop up. Choose an appropriate payment type to use such as Direct Debit, Cheque or any other non-rounding payment type.
    Do NOT select Cash if the payment does not end in a 0 or 5 decimal value. Do NOT select EFTPOS if you're on a terminal with integrated EFTPOS.
  17. Start a customer payment with your shortcut button or press [F11] on the keyboard.
  18. Click on Pay Laybys.
  19. Enter your payment value directly into the Payment Amount column for the layby you wish to pay off.
  20. Click on the Pay Now button.
  21. In the Payment Details window, select the same payment type that you had refunded the layby credit with.
