Paying a Customer Layby

From the Retailer Point of Sale screen, there are several methods to start a layby payment:

  • Click on the Customer Payment shortcut button.
  • Press the [F11] key.
  • Press [Ctrl]+[C].
  • Scan the initial layby receipt.

From any of those options:

  1. Select the customer from the Find Customer Screen and click the OK button.
  2. Select the following depending on how layby payments were initiated:
    • Click on Pay Laybys from the Pay Menu (Customer Payment button or [F11]).
    • Click on Pay Layby in the Layby Management screen ([Ctrl]+[C]).
    • Click on Pay Layby in the Previous Sales screen (Scan layby receipt).
  3. The Customer Layby Payment screen will open. If the customer has more than one layby, enter the respective amounts in the Payment Amount field for each layby. (You can enter different amounts against each layby.)
  4. Click the Pay Now button at the bottom left and complete the transaction.
The Layby Tax Invoice / Receipt will include the Layby History to display their payment history and the remaining Layby Balance of the layby. If the layby is fully paid, the receipt will include a notice of 'This is the Final Payment.'

Layby Items can be included on the payment receipt if the 'Always add stock items to Layby Payment Receipt' setting is enabled. More information can be found in our Setting Up Laybys advice sheet.

Alert
The payments cannot be backdated in any way. This is because some accounting processes will have already locked in numbers to a certain point which can be complicated to update, and some of that information may have already been given to customers in the form of statements or invoices.

Collecting a Customer Layby

Laybys must be fully paid to collect in full or have sufficient payments to collect individual items.


You can collect a layby using one of the following methods:

  • Fully pay the layby and the Layby Management screen will appear (depends on layby setup)
  • From the Point Of Sale screen, press [Ctrl]+[C] and select a customer to access the Layby Management screen
  • From the main screen of Retailer, click on Tasks -> Layby Management
In the Layby Management screen:
  1. The details of the first layby for the selected customer will be shown. If the customer has multiple laybys, navigate to the required layby with the navigation arrow buttons â­ â­¢ at the bottom of the Layby Management window.
  2. If the customer has fully paid for the layby, click Collect All. To collect specific items, select them and click Collect This Item.
  3. Click on Save.
Once a layby has been collected, a Layby Collection receipt will be printed, and the items collected will be marked as COLLECTED in Layby Management. You can set your printing 'Qty' for 'POS Layby Collection' in your Report Mapping settings if you wish to keep a copy for the store's reference of recent laybys collected.
Alert
The expected pick up date for an existing layby cannot be changed. If the expected pick up date needs to be amended, the layby must be cancelled and recreated with the new date.
