Custom Stocktake Examples

Below are specific steps for different Custom Stocktakes you can perform. This is achieved using Filtering in Stock Manager.

Stocktake Items that have not been Counted since X date

  1. On the top menu bar in Retailer, click on Stock Maintenance -> Stocktake -> Stocktake.
  2. Click the New Stocktake button on the top-left.
  3. Select New Custom Stocktake.
  4. At the top of the new screen that appears, click the Search button to access the Advanced Stock Search feature. Click HERE for more information on Advanced Search.
  5. Search for the Stock you wish to Stocktake. A Department for example. To use all Stock Items, type an asterisk * into the Keywords box.
  6. Click Search
  7. This will take you back to the Stock Manager screen.
  8. Click Select and Select None
  9. Click the Orange Asterisk in the top left corner and untick any unnecessary columns. Make sure 'Last Stocktaked' is ticked
  10. Find the 'Last Stocktaked' column. Hover the mouse next to the 'Last Stocktaked' column and click the Funnel Icon. Click Custom

  11. Change 'Equals' to 'Is Less Than'. Type a date in the box or use the Down Arrow to open a Calendar view. Once the date is set, click Ok.

  12. Only items that have not been stocktaked since the selected date will be listed. You can apply a filter to another column if needed. For example, Qty on Hand.
  13. Click Select and Select All
  14. In the bottom left corner, click Ok
  15. The stocktake screen will now be populated with the selected items.
  16. Enter a description of the stocktake in Stocktake Name.
  17. Count the items in the Stocktake.
  18. Click the Process button in the bottom-right corner.
  19. You will be asked 'Are you sure you wish to process this stocktake?' Click Yes
  20. Next, you will be asked 'Do you wish to reset the QOH for items in this list that were not stocktaked to 0?'
    If you wish to set items not counted back to 0 Quantity, Click Yes. Otherwise Click No.
  21. The stocktake will be processed. It is now closed and cannot be edited anymore.

Stocktake Items with a negative Quantity on Hand

  1. On the top menu bar in Retailer, click on Stock Maintenance -> Stocktake -> Stocktake.
  2. Click the New Stocktake button on the top-left.
  3. Select New Custom Stocktake.
  4. At the top of the new screen that appears, click the Search button to access the Advanced Stock Search feature. Click HERE for more information on Advanced Search.
  5. Search for the Stock you wish to Stocktake. A Department for example. To use all Stock Items, type an asterisk * into the Keywords box.
  6. Click Select and Select None
  7. Click the Orange Asterisk in the top left corner and untick any unnecessary columns. Make sure 'Qty on Hand' is ticked
  8. Find the 'Qty on Hand' column. Hover the mouse next to the 'Qty On Hand' column and click the Funnel Icon. Click Custom.

  9. Change 'Equals' to 'Is Less Than'. Type 0 in the box and click Ok.
  10. Only items with a Qty on Hand less than 0 will be listed. You can apply a filter to another column if needed.
  11. Click Select and Select All
  12. In the bottom left corner, click Ok
  13. The stocktake screen will now be populated with the selected items.
  14. Enter a description of the stocktake in Stocktake Name.
  15. Count the items in the Stocktake.
  16. Click the Process button in the bottom-right corner.
  17. You will be asked 'Are you sure you wish to process this stocktake?' Click Yes
  18. Next, you will be asked 'Do you wish to reset the QOH for items in this list that were not stocktaked to 0?'
    If you wish to set items not counted back to 0 Quantity, Click Yes. Otherwise Click No.

  19. The stocktake will be processed. It is now closed and cannot be edited anymore.
