0:01 Departments and categories form the basic structure of Retailer's Stock system. They have settings for every single stock item that goes within them and helps with reporting and website collections if you're going down that path. 0:15 So to set up our first departments and categories, we're going to go to stock then suppliers and departments. The first tab that it opens onto is departments. 0:27 And here we're looking at the details of the gift voucher department. It's a system one, we leave it in there. 0:33 So let's add our first department. We go down to add, we type in the department name. Okay. Departments don't need a barcode, so we're going to skip that section. 0:49 Everything in this department is going to be taxable, so we leave it on the tax group for GST. It's not a pay-out department that's used primarily for lotto pay-outs, for news agencies. it's not an appointment department. 1:03 And this setting here allows you to control whether items in this department can be discounted. That setting can be found at three levels; the department, the category within the department and at an individual stock item. 1:19 So we click next. 1:22 The department markup percentage allows retailer to calculate the sell price for you when you put in the cost price for an item when you're creating stock. 1:33 So if this item costs $10, excluding gst, the system will add the tax onto it; So $11. And then it will calculate the sale price based on the markup percentage here. 1:45 Now, no matter what it calculates, you can still override the sale price when you create that item, but having it auto calculate to a certain margin might help you make sure you enter in a price that's close to what you want it to be. 1:56 So in this case, I want a hundred percent on any item in this department. And then down here we have the round setting as well. 2:05 So I want it to round to the nearest 5 cents like that. So if I put in cost ex (GST) of 10, it'll calculate to $11 cost, including GST. 2:16 It'll then add 100% to $22 and it won't do any rounding cause it's landed on $22.00. But if it did land on say $22.02, it would round down to $22.00. 2:31 Next and finish, we have our first department. 2:36 Now we're going to set up some categories within that department. So we go to the categories tab and then we go down to ad and we put in our first category name, which is going to be Easter. 2:50 Once again, we have that discount setting, so whether items in this category can be discounted. So we'll leave it on because we want them to be able to be discounted. 3:02 There is also a category markup. A category markup will override a department markup unless the category markup is zero. So remember, the department card says 100%. 3:16 I'm going to put this one at 120. So any item that is assigned to this category will have a 120% markup on its cost price. 3:24 I'm also gonna do my rounding as well. And that's my first category. I'm going to add one more for another example. 3:35 So Christmas also at 125% and rounding to the nearest five. Now to navigate between departments and categories, the details tab here refers to the department details and the categories tab refers to the categories within that department. 4:02 You can navigate between your category names using the arrows down here, or you can click on the search box and you're looking at the categories within that department. 4:11 You can add from here as well . 4:15 Back on the department tab. If we click on these here, these arrows we're navigating between the departments and you also have the magnifying glass. 4:23 Just look through the list of departments. All of the settings that we've looked at within those wizards of adding a department and adding a category can be seen here in the fields. 4:37 And some more settings are available here as well. So if I look at categories, you'll see that there's a few more fields there. 4:45 That's departments and categories.
