Inter-Store Transfer Report

The Inter-Store Transfer Report can be used to view the inter-store transfers that have been leaving or arriving at a location. It can be used to view the items in a specific transfer, or you can view totals across a selected date range.

To run the Inter-Store Transfer Report, go to Reports  Stock Reports → Inter-Store Transfer Report.
Select the desired Report Options.
Click Preview or Print to generate the report.

The Inter-Store Transfer Report is only available for sites using Multi-Store

Report Options

Transfers to Include

Select between Transfers Sent and Transfers Received. This affects how the transfers are grouped on the report - whether they are listed in order of sending store, or receiving store. Additional allocation information is presented when grouping by Transfers Sent.

Search Options

Select Specific Transfer if you are looking for information about one particular inter-store transfer. You will be able to select the transfer by its invoice number in the drop-down box

Select Date Range / Retail Store / Supplier if you want to view multiple transfers in the report. You will be able to further limit the transfers appearing in the report with the following options:
  1. Date Range - Select a Start Date & End Date. The report will only include transfers that occurred within those dates.
  2. All Stores / Specific Stores - If you wish to only see transfers in / out of a specific location, choose that location from the drop-down box here.
  3. Accepted Status - Here you can limit the report to show only incomplete transfers where the receiving location has not accepted the transfer yet, or only show complete transfers, or both.
  4. Supplier - Choose between showing all stock, or only including stock items that come from a specific supplier chosen in the drop-down box.

Visual Options

  1. New Page for each Store - When showing transfers to multiple stores, each list of transfers begins on a new page of the report
  2. Show Cost Prices on Report - When ticked, the report will include stock item ex-tax cost prices, as well as retail prices.
  3. Show Banding on Report - The first line of each transfer will be coloured (default colour is yellow) to help distinguish between transfers
  4. Show Totals - When ticked, the report includes Item Totals, Transfer Totals, and Store Totals
  5. Show all Stores in Allocations (Transfers Sent only) - The report will list all stores in each transfer, even if they did not receive an allocation of that item
  6. Show Department Totals Only - The report will only list the total cost ex-tax amounts transferred by department, instead of listing individual transfers / stock items

Reading the Report

  1. Transfer Number - The Invoice stamp or Order number of the inter-store transfer.
  2. Accepted - Yes/No shows whether the order has been arrived at the other location.
  3. Transfer Description - Indicates whether transfer was done via an invoice in POS, or by creating an order in Orders Maintenance.
  4. Order - Order number if transfer was done via Orders Maintenance.
  5. QOH Supply Location - Current quantity on hand of item at supplying location.
  6. Qty on Order - Current quantity ordered at supplying location (pending / sent orders).
  7. Qty Ordered - Quantity of item requested by receiving store (Only applicable if transfer done via Orders Maintenance).
  8. Qty Allocated - Quantity of item supplied by sending store.
  9. Store QOH - current quantity on hand at receiving store.

Exporting the Report

You can export the report to an Excel spreadsheet by using the Preview button and following the below steps:
  1. PDF - Click on the Print 🖨️ button in the top left. Tick 'Print to File' and select 'PDF File' as the Type. Click on the three dots button [...] to choose your save destination. Click OK to save the file.
  2. Excel spreadsheet - Click on the Print button in the top left. Tick 'Print to File' and select 'Xlsx Data File'. Click on the three dots button [...] to choose your save destination. Click OK to save the file.
