Converting loyalty points to gift vouchers is a different way you can reward your customers. This can be done as a regular process to use customers loyalty points or as a one off to transition from a loyalty reward points based program to a discount voucher based program.
Setting up the Discount Voucher Type
First, we need to set up the voucher amounts that will be issued depending the number of loyalty points.
- From the main screen of Retailer, go to Setup->Vouchers ->Discount Vouchers (If you don't have the Vouchers option please contact Tower Support to have this activated).
- Select Voucher Setup from the options on the left.
- In the Voucher Types section, click on Add.
- Enter a description eg. Loyalty Points.
- Select the Discount Voucher Category customers are assigned to.This works only if the customers intended to get these vouchers are also assigned to this Discount Voucher category. See HERE for steps on how to assign the Discount Voucher to a Customer.
- For Discount Type select Loyalty Points.
- Select a Start Date and Stop Date.
- Adjust the rest of the settings as needed and click Save.
Setting up the Voucher Values
- In the Voucher Values section, click on Add.
- Loyalty Point Contribution is the number of loyalty points the customer will need to have.
- Voucher Amount is the value of the voucher for the given number of points.
- Days until Expiry is from the date of issue until it expires.
- Click Save.
Customising the Look of the Voucher
Next, we need to set up how the voucher will look and what information will be on the voucher.
- On the left, click on Loyalty Conversion.
- In Report Template, click on the three dots to the right.
- Right-click on the section shown below and click Edit.
- Delete the text that says 'enter store number here' and enter your store phone number.
- Delete the text that says 'enter email address here' and enter your store email address.
- Delete the text that says 'enter contact name here' and enter your store contact's name.
- Close the screen and click Yes to save changes.
- On the next screen, click on File on the top-left and select Save As.
- Navigate to C:\Tower\Retailer\Report\DiscVouchers (You may have to create the folders).
- Change the File name if required and click Save.
- Close the screen and then select the newly create template in Report Template.
Sending Vouchers
- To send the vouchers, select the Voucher Type that you set up for loyalty.
- Then click on Convert points to vouchers.
- It will list all the customers that had enough points to receive a voucher. You can change the Preferred Delivery Method between posting or e-mailing the voucher.
Note: If you want to email vouchers, ensure that you have set up User Email Settings. - Click Email Template to change the subject and body text of the email.
- Click Preview to check them before sending.
- Once they are ready to send, click on Print/Send and it will print the postal vouchers and/or email the vouchers.
Re-Sending Vouchers
If you need to resend a voucher you can find old vouchers by changing the date at the bottom.
- In the Loyalty Conversion screen, choose the Date that the voucher you need to resend was produced. Then click Filter by Date.
- Tick the voucher/s you need to resend.
- Click Preview to check them before sending.
- Once they are ready to send click on Print/Send and it will print the postal vouchers and the email vouchers.
