You can charge late fees for customers and subagents who do not pay their statements before the next statements are printed.
Charge Late Fees
- From the main screen of Retailer, click on Customers -> Overdue Accounts -> Charge Late Fees.
- Under Options, tick 'Only include transactions that have appeared on a statement' if you would like to exclude invoices that have not yet appeared on a statement from being included in the Overdue Amount
- Under Options, tick 'Only charge fee for transactions with due date on or prior to' and then select a date to exclude recent transactions from the Overdue Amount
- To apply the late fee to all account categories click on All Account Categories or to choose from a number of account categories click on Selected Account Categories
- To apply the late fee to every customer and subagent within the selected account categories click on All Customers. To choose from a range of customers within the selected account categories click on Select Customer Range. Enter a customer number range and a list of customers will appear underneath. You can remove a customer from the list by clicking on the name and pressing the [Delete] key on the keyboard.
- You can choose to change an Amount (inc GST) OR a Percentage (of what they currently owe). Enter in the amount/percentage in the box below.
Note: The percentage must be a whole number - To generate a report of customers who are about to be charged, click on Customers Late Payment Report.
Note: The report is not filtered by the 'Only include transactions that have appeared on a statement' or 'Only charge fee for transactions with due date on or prior to' settings - To preview the late fees to the customers accounts, click on Charge Late Payment Fee.
- The 'Confirm Late Fees' screen will appear with a list of Customers, Overdue Amount and calculated Late Fee
- The Late Fee can be changed by typing a new amount into the Late Fee column next to each customer
- The Late Fee can be removed by clicking the 3 dots ... next to the Late Fee amount
- Customers can also be removed from the list by clicking their name and pressing the [Delete] key on the keyboard
- Click 'Charge Late Fees' to add the late fee to each Customer's account
- The Late Payment Fee report will appear and list all Customers who have been charged a Late Payment Fee.
- To print the report, click the Print 🖨️ button in the top left corner to print the report
- To save the report as a PDF, click the PDF button at the top of the Report Preview screen
- To save the report as an Excel File, click the Print 🖨️ button in the top left corner then 'Print to File' and select 'Xlsx Data File' as the Type. Click on the three dots button [...] to choose your save destination. Click OK to save the file.
- The Late Payment Fee report is not automatically saved into Archived Reports

Customer Late Fees will appear on the next Customer Statement. They cannot be printed or emailed separately
Reverse Late Fees
- From the main screen of Retailer, click on Customers -> Overdue Accounts -> Reverse Late Fees.
- To reverse the late fee for all account categories click on All Account Categories or to choose from a number of account categories click on Selected Account Categories.
- To reverse the late fee for every customer within the selected account categories click on All Customers. To choose from a range of customers within the selected account categories click on Select Customer Range. Enter a customer number range and a list of customers will appear underneath. You can remove a customer from the list by clicking on the name and pressing the [Delete] key.
- Select the date when the fee was charged.
- To reverse the late fees, click on Reverse Late Payment Fee.
- Click Yes to confirm that you would like to reverse the fees.
- The Reverse Late Payment Fee report will appear and list all Customers who have had a Late Payment Fee removed. You can print or save this report
- To print the report, click the Print 🖨️ button in the top left corner to print the report
- To save the report as a PDF, click the PDF button at the top of the Report Preview screen
- To save the report as an Excel File, click the Print 🖨️
button in the top left corner then 'Print to File' and select 'Xlsx
Data File' as the Type. Click on the three dots button [...] to choose
your save destination. Click OK to save the file.
- The Reverse Late Payment Fee report is not automatically saved into Archived Reports
Reporting on Late Fees
The Sales Transaction Log report can be used to list Late Fees that have been applied to Customer Accounts
- On the top menu bar of Retailer, click on Reports > Sales Reports > Sales Transaction Log
- Select the Report Date Range
- Under 'Select Transaction Types to Include', untick all options
- Click Preview
