Static Quantity (Service item)

Static Quantity is a feature that allows you to set the quantity on hand of an item at zero. It is designed for service-based items such as engraving, labour, and delivery fees. This helps you with reports and spotting discrepancies in the QOH for live products without needing to filter these items on the Stock Listing report.

How to Enable

To set an item to have a static quantity:
  1. From the main screen of Retailer, click Stock → Stock Screen.
  2. Click the magnifying glass (🔎︎) at the bottom, then search for the item you want to set to a static quantity.
  3. Click on the Other tab.
  4. Tick the box Static Qty.
  5. Click Save.

Understanding the Static Quantity column

The Static Quantity field in the Stock Screen and Stock Manager displays one of three states for each item:
  1. Empty (blank checkbox) - Static Quantity is not enabled. The item has a record in the system with Static Qty set to off. Click the checkbox to enable it.
  2. Ticked (✓) - Static Quantity is enabled. The item's quantity on hand is frozen at 0 and will not change with sales or stock arrivals. Used for service items or anything you do not want to track physically.
  3. Square (■) - Static Quantity is not enabled. This item does not have a Static Quantity record stored in the system yet. Functionally, a square means the same as an empty checkbox, the Static Quantity is not active. Click the square to enable it, exactly as you would an empty checkbox.
In short: Both an empty checkbox and a square mean Static Quantity is off for that item. You can treat them the same way.
