Stock within Retailer is placed into a Department and, optionally, a Category within that Department. Occasionally you may encounter an “Unknown Department” or “Unknown Category” when looking at reports. These occur because the stock isn’t in a department/category.
This utility finds stock in your system which is missing a department. You can also have the utility search for stock with no category if you wish. Running this function will make reporting within Retailer more accurate.
- From the Main Screen of Retailer, go to Utilities -> Department Utilities -> Find Stock With No Department.
- You will be asked “While searching for stock that does not have a valid Department would you also like to display any Stock that does not have a valid Category?”
- If you only want to fix departments and leave categories as is, answer No. If you want to fix departments and categories together, answer Yes. The system will then check through all of your stock and discover any department/category problems.
- If you answered Yes, you will be shown a list of every stock item that does not have a department nor a category. Otherwise, you will just be shown a list of the stock items without a department.
- To assign a department for a particular item, click into the blank cell in the Select Department Name column for the appropriate stock item, and choose the correct department. You can also create a new department by pressing the [Insert] key on your keyboard.
- To quickly give an item the same department and category as the last one you chose, simply click on the barcode of the other items.
- If you want to move everything in the list to the same department and category, set the department/category for one stock item, then click on Set all stock items with the current Department / Category.
NOTE: This will overwrite any departments or categories that you’ve already chosen, so it may be best to do this first (to cover the majority), then change the others to the appropriate department/category. - Click Save Changes when finished.
