Before trying to email statements, you must have all your email account settings set up correctly. For more information, click HERE.Account customers can receive their account statements by email. Follow the steps below to enable this.
Enable Account Customers to Receive E-mail Statements
- On the top menu bar of Retailer, click on Customers → Customer Screen.
- In the Contacts tab, enter the customer's e-mail address in E-Mail field.
You can enter multiple emails by separating them with a semicolon. - Tick the Send Customer Account via E-mail tickbox.
- Click into the Other tab at the bottom.
- Tick the Account Customer tickbox.
- Click the Save button.
Set up Customer Statement Email Subject & Message
You are able to change the default customer statement email's subject and body message that is sent to customers who have opted to receive email statements instead of printed statements.
- From the main screen of Retailer, click on Customers → Customer Statements.
- Click Setup in the top right
- Under Email Settings, add Subject and Message Text. The Statement is attached to an email with this Subject and Message. This setting is set per terminal.
Sending Customer Statements via E-mail
Customer statements can then be e-mailed in the following ways:
- To individual customers, one at a time
- To all customers that match a specific criteria
To Individual Customers
- From the main screen of Retailer, click on the Customer icon. Alternatively, on the top menu bar of Retailer, click on Customers → Customer Screen.
- Click on the magnifying glass icon 🔎︎ and select the particular customer from the Find Customer Screen.
- In the Transaction Menu, click on Customer Statements.
- Select Current Statement and tick Save Statements.
- Ensure Email Statement is ticked.
- Click on Preview or Email. Previewing will not send the email statements at all, so be sure to click Email to actually send them.
There will be confirmation boxes either way. - Click Close.
- When prompted to send the e-mail, click Yes.
To send a customer statement with a specific date before today, such as the end of the month, use the Select Customer Range option in the main Customer Statements window and select the customer number.
To All Customers
- From the main screen of Retailer, click on Customers → Customer Statements.
- Select E-Mail Statements.
- (Optional) Tick Select Customer Range and select the range of customer numbers to produce statements for.
- Select the Finish Date for your Customer Statements
- (Optional) In Account Category, select the categories to produce statements for.
- Hold CTRL on the keyboard and then click the Account Category to select multiple Account Categories
- Click Preview to check the statements first. This will NOT send the email statements at all.
- Click Send E-Mail Statements to send the statements.
There will be confirmation boxes either way. - Click Yes on the warning screen and the emails will be sent to the customers with their statement as an attachment.
Re-emailing customer statements
You can resend your emailed customer statements by ticking the 'Reprint Statement' tickbox, either in the Customer Statements window while in the E-Mail Statements section or from the customer's profile by selecting the 'Reprint Statement' option inside Customer Statements.
Once the 'Reprint Statement' tickbox is ticked, a grid will appear displaying all previous statements generated for your customers or for the individual customer.
