Importing Products

To create an EDI file, easyEDI needs barcodes and recommended retail prices. Unfortunately, Xero does not store either of these fields for your products. You will need to add a list of products to easyEDI so that it can match the Xero product code to the correct barcode and RRP.

This is done by importing a CSV of your products into easyEDI. The CSV should have just 3 columns: Barcode, Product Code and RRP. You can download an example CSV by going to Products in the menu on the left, then clicking Upload, then Click Here to download the example. The example file is also included as an attachment at the bottom of this article. Many product inventory systems will be able to create a CSV, which you will need to edit to match the format of the example file. The column 'Product Code' should match the codes for your products in Xero.
When editing a CSV in Excel, make sure to set the format of your barcode column to Number with 0 decimal places. If the barcodes are being displayed in the format '9.32E+12', they will be destroyed when you save the file. Note that this will remove any leading zeroes in the barcodes.
Once you have created the file, you can upload it by going to Products in the menu on the left, then clicking Upload, then Choose File and selecting the file. Finally, click Upload to add your product list.

(Optional) Importing Products from Unleashed

If you use the inventory management system Unleashed, you can skip the above steps and instead link easyEDI directly with your Unleashed account to download your products. To link easyEDI to your Unleashed account:
  1. Log in to your Unleashed account as the account owner.
  2. In the menu on the left, click Integration, then Unleashed API Access.
  3. Copy your API ID and API Key.
  4. Back in easyEDI, in the menu on the left, click Preferences.
  5. Click the edit symbol next to Platform Settings.
  6. Enter the API ID and API Key you got from Unleashed. Click Update.
To import your stock from Unleashed, go to Products in the menu on the left, then click Import from Unleashed. You can click this again at anytime to update your product list.

Importing Tax Settings from Xero

When creating EDI files, easyEDI will use the tax settings you have set for your products in Xero. To import these settings, click Taxes in the menu on the left, then Download Taxes. If you ever change your tax settings in Xero, you will need to repeat this process to update easyEDI.
