easyEDI - Setup - Creating Account and Linking to xero
easyEDI is a website intended for use by Suppliers/Wholesalers, not for Retail Stores.
easyEDI is a website that allows you to convert invoices created in Xero into EDI files for your customers. EDI files are electronic invoices that can be imported into POS software like Retailer, massively reducing the amount of time it takes to add new stock to your customer's system and guaranteeing better accuracy.
easyEDI is a paid service; there are a number of subscription models to choose from starting at $10 a month. A Xero account is required. Optionally, easyEDI can also connect to an Unleashed account to download your product list.
Unleashed is an inventory management platform, with subscriptions. Free trials are available through their website.
Creating an Account
- Go to easyedi.com.au and click Sign up.
- Either fill in your business name, email, and enter a password OR click the Sign in with Xero link and log into your Xero account, then click Allow access. You have now created an easyEDI account.
- In the menu on the left, click Profile.
- Fill in any details here that are missing - name, phone number etc. - and click Update.
- If you originally clicked Sign in with Xero to create your account, click Create Password and enter a password for this account.
- If you originally created your account without signing in with Xero, click Invoices in the menu on the left, then Sign In with Xero to link your Xero account.
When signing back into easyEDI later, you can either enter your email & password, or click the Sign in with Xero link.
Choosing a Subscription
To use easyEDI, you will need to sign up for a subscription. You will need either a valid credit card or bank details for direct debit.
- Click Home in the menu on the left.
- Under Connections you should see your linked Xero business. Follow the 'click here' link to go to the subscriptions page.
- Click Subscribe for your choice of available subscriptions.
- Follow the prompts to enter your billing address and payment method.
- Once your payment details are entered, close the window. If you click Subscriptions in the menu on the left, you should be able to see your subscription details.
(Optional) Linking Multiple Xero Businesses
If you have multiple business profiles in your Xero account, it is possible to link them to the same easyEDI account. You will be able to quickly switch between businesses on any page of easyEDI by clicking your business name, then selecting a different business from the drop-down box of connections. Each business will require its own separate subscription to use easyEDI.
To link additional businesses:
- Log out of your easyEDI account by clicking the Logout button in the top-right.
- Click Sign in with Xero.
- In the Xero login screen, click Select Another Organisation and choose your other business from the drop-down. Click Allow Access.
- If you click Home from the menu on the left, you should be able to see all your connected businesses. Click on one of the businesses to see the details; you can manually connect/disconnect the Xero link from individual business here.
