The Change/Merge Barcodes utility allows you to change the barcode of an existing item or to merge two or more items together. We recommend that you preform a backup beforehand as the process cannot be reversed.

Changing Barcodes

  1. From the main screen of Retailer, go to Utilities -> Change / Merge Barcodes.
  2. In the first box, type or scan the OLD barcode. Alternatively, press [Enter] to search for the item.
  3. In the second box, type or scan the NEW barcode. Alternatively, press [Alt]+[G] to generate a random barcode.
  4. Press [Tab] and the items will appear in the grid below.
  5. Repeat the steps above to add multiple items to the grid of barcodes to be changed.
  6. Once you have finished adding the barcodes to be changed, click on the Modify All button.
  7. Click OK to confirm and proceed with changing the barcode(s).
Idea
A barcode can also be changed by Right Clicking on the barcode in Stock Screen and clicking Change Merge Barcodes.

Merging Barcodes

Merging barcodes is used two consolidate two separate titles into one. The merged item will no longer exists and all sales, arrivals, returns and orders will be consolidated into the history of the retained item. This is generally done when an item is duplicated or when multiple parent items of the same magazine are created.

  1. From the main screen of Retailer, go to Utilities -> Change / Merge Barcodes.
  2. In the first box, type or scan the UNWANTED barcode. Alternatively, press [Enter] to search for the item.
  3. In the second box, type or scan the CORRECT barcode. Alternatively, press [Enter] to search for the item.
  4. Press [Tab] and the items will appear in the grid below.
  5. Repeat the steps above to add multiple items to the grid of barcodes to be merged.
    Notes
    If the items being merged have Classifications on them, it will bring up a screen to confirm how to merge the classifications.
    The Existing item (that will be merged away) will list Existing Classification Values on it in one column, followed by the column of Classification Values for the item that will remain (New values). Tick the box on the right to use the new Classifications for the item that will remain (these will be ticked by default, assuming the item that will remain has the correct Classification Values). Click OK when done.
  6. Once you have finished adding the items to be merged, click on the Modify All button.
  7. Click OK to confirm and proceed with changing the barcode(s).

The quantity on hand for the merged items will be added together

Merging Magazine Parent Items

For newsagencies, you will need to make sure that the Frequency and Delivery Day of the items match. To match up the Frequency and Delivery Day:

  1. From the main screen of Retailer, click on Stock -> Stock Screen.
  2. Click on the magnifying glass and search for the CORRECT parent item. Select the item and press OK.
  3. If the item does not have a PLU, type one in. Take note of the PLU or write it down.
  4. Click on the Newsagency tab.
  5. Check and take note of the Frequency and Delivery Day of the item.
  6. Click Save.
  7. Click on the magnifying glass and search for the DUPLICATE parent item. Select the item and press OK.
  8. If the item does not have a PLU, type one in. Make sure the PLU is different to the first parent item. Take note of the PLU or write it down.
  9. Click on the Newsagency tab.
  10. Check the Frequency and Delivery Day of the item. Make sure it matches the first item.
  11. Click Save.
  12. Repeat the steps above for any other parent items that need to be merged.

Once the details of the parent items have been matched, they can then be merged.

  1. From the main screen of Retailer, go to Utilities -> Change / Merge Barcodes.
  2. In the first box, type in the PLU of the UNWANTED parent item. Alternatively, press [Enter] to search for the item.
  3. In the second box, type in the PLU of the CORRECT parent item. Alternatively, press [Enter] to search for the item.
  4. Press [Tab] and the items will appear in the grid below.
  5. Repeat the steps above to add multiple items to the grid of barcodes to be merged.
  6. Once you have finished adding the parent items to be merged, click on the Modify All button.
  7. Click OK to confirm and proceed with changing the barcode(s).
  8. A report may appear that shows the customer orders that have been brought over to the correct parent item.
