Automatically / Manually Sending SMS Alerts

The SMS & Email function allows you to send SMS or Email messages to customers, staff and yourself.  There are two types of messages that can be sent: 
  • The first is the Management Messages like the End Of Shift Department Totals, Variance, and the Audit Log.  
  • The second are customer messages like when a Putaway or Repair is ready for collection, or that their lay-by or customer account is overdue.
Alert
Sending SMS alerts requires you to sign up with one of the providers listed below. This is a paid service; follow the links to learn more.

Setting Up An SMS Account

  1. Contact following provider to set up an SMS account:
  2. From the main screen of Retailer, click on Tasks -> SMS Message Alerts.
  3. Click on Master Account Settings.
  4. Select the SMS Provider.
  5. Enter in the Username and Password created and provided by your provider.
  6. Enter number for Mobile 1 & 2, which are where Management Messages are sent to.
  7. Configure any of the other optional settings.

Sending Manual SMS Messages

  1. From the main screen of Retailer, click on Tasks -> SMS Message Alerts.
  2. Enter the number of the recipient by either:
    1. Entering a Phone Number and Name and then click on Add Number.
      OR
    2. Clicking on Find Customer and selecting the customer from the screen. This requires the customer to have a mobile number set up in the Customer Screen.
  3. Type in a message (Each message is 160 characters long).
  4. Click Send to Batch or Send Now.
  5. If adding multiple messages to the Batch, click on Send Entire Batch Now once all the messages have been added.

Automatic Management & Customer Messages

  1. From the Main Screen of Retailer, click on Tasks SMS Message Alerts.
  2. Click on Notification Settings.
  3. Tick the Alert Triggers for the SMS messages.
  4. Each Alert Trigger has its own options including:
    • Trigger-specific settings.
    • Days that messages are sent on.
    • Messages that can be re-worded.
  5. Configure the settings and click Close when finished.

List of available Alert Triggers

Below is a list of available Alert Triggers that can be enabled to automatically send either an SMS or Email alert to management or customers.

Management Messages
  1. End of Shift Variance difference - Send an Alert to the manager(s) after the End Of Shift if the Till Variance is greater than the specified amount.
  2. End of Shift Daily sales totalsSend an Alert to the manager(s) after the End Of Shift with the Daily Sales Totals.
  3. End of Shift Department totalsSend an Alert to the manager(s) after the End Of Shift with the Daily Department Sales Totals.
  4. Audit Deleted sales - Send an Alert to the manager(s) when there has been a number of Delete Sales in a number of minutes.
  5. Adut Cancelled salesSend an Alert to the manager(s) when there has been a number of Cancelled Sales in a number of minutes.
  6. Audit Discounted salesSend an Alert to the manager(s) when there has been a number of Items Sold below Cost events in a number of minutes.
  7. Audit No SaleSend an Alert to the manager(s) when there has been a number of No Sales in a number of minutes.
  8. Audit Panic ButtonSend an Alert to the manager(s) when panic button has been press a number of Times in a number of minutes.

Customer Messages
  1. Overdue account - Send an Alert to a customer from this Account Category when their account is overdue.
  2. Repair completed - Send an Alert to a customer when their repair has been marked as complete.
  3. Putaway received - Send an Alert to a customer when their putaway has been received.
  4. Layby outstanding - Send an Alert to a customer when they have an outstanding layby balance that has exceeded the expected pickup by a number of days.
  5. Special Customer Order received - Send an Alert to a customer when their Special Customer Order has been received.
  6. Overdue Putaways - Send an Alert to any customers who have Putaways that have not been collected for more than a number of days.

Error messages with SMS

  1. Error 3000: This error indicates that your SMS credentials in Retailer are incorrect. Please check your selected SMS Provider, Username, and Password in the account settings. The Error 3000 may also appear at the end of shift if your SMS alerts are configured to send management messages to the manager's mobile.
